2007 BANQUET POLICIES

 

DEPOSIT

A non-refundable deposit is required at the time a reservation is made.  The standard deposit is $500.00.  For a party of 25 people or less, the deposit is $250.00.  Without this deposit, there is no guarantee that a space will be reserved for you.  This deposit will be applied toward the final cost of your function.

PAYMENTS

All banquet functions will be billed upon completion of event.  Any charges billed on a member account will be billed with our regular billing cycle.  All non-member events will be required to have payment in full within 14 days of the event, or the final bill will be charged to the credit card number that must be given to the Banquet Director prior to the event. If payment is not received in full within the 14 days, a finance charge of 21% will be added to the original bill.

BOOKING PROCEDURES

The Banquet Director must be notified of meal selections, approximate number of guests, room arrangements, equipment requests, and all other details two weeks prior to the event.

GUEST GUARANTEE

Ames Golf & Country Club must be notified of the exact number of guests attending 5 business days prior to the event.  This number will be considered your guarantee, and may not be reduced after this time.  The guaranteed number is the established minimum number for billing purposes.  Any guests attending above the guarantee number will be charged 1 ½ times the regular price.

ADDITIONAL FEES

All non-member events will be subject to a fee of $3.00 per person.  Iowa sales tax and a 20% gratuity will be added to all food and beverage items.  These fees include all setup and tear down, normal clean up and house linens.  Any cleaning outside of the norm will result in an additional fee depending on the extent necessary. 

DRESS CODE

Ames Golf & Country Club provides its members with a long tradition of elegance and service.  This is reflected in the décor, dining, and recreational facilities of the club.  Accordingly, the members and their guests are expected to dress in keeping with established Club policies covering proper dress.  The following are not allowed at Ames Golf & Country Club banquets: blue jeans, cut-offs, jogging shorts, muscle shirts, tank tops, or short shorts.  You are responsible for informing your guests of the Club’s policies.  Ames Golf & Country Club reserves the right to refuse service to any individual that does not meet the Club’s guidelines for dress.

PRIVATE PROPERTY

Ames Golf & Country Club does not allow the affixing of anything to the walls, floors, furnishings, or ceilings of rooms with nails, tape, staples, or any other substances.  The Club member, host, or sponsor of an event assumes responsibility for, and all damages to, or loss of property from the function room or other areas of the Club utilized by your guests, invitees, or independent contractors affiliated with your function.  Ames Golf & Country Club reserves the right to prohibit the use of certain décor (such as confetti, rice, or bird seed) due to the extensive labor time it takes to clean up following an event.

PERSONAL PROPERTY

Ames Golf & Country Club does not have space available to store personal property, equipment, or supplies belonging to, or rented by, the member.  All such items must be removed from the Club at the end of the function.  Ames Golf & Country Club will not assume or accept responsibility for damage to, or loss of, property, articles or rented equipment left in the Club prior to, during, or following any function.

ENTERTAINMENT

All bands or other entertainers must finish their last set by 11:30 pm.  All private function rooms must be vacated by 12:00 am.  A $75.00 charge will be applied to the final bill for each additional 30 minutes past midnight.

FOOD AND BEVERAGE

All food and beverages must be purchased from Ames Golf & Country Club.  Club members, guests, or other invitees may bring no food or beverage of any kind into the Club.  All food and beverage not consumed will remain the property of Ames Golf & Country Club.

BEVERAGE SERVICE

Last call will be given on all cocktail service no later than 11:30pm.  All open or cash bars will close no later than 11:45 pm.  Absolutely no extensions will be granted.  The use of shots or pitchers of beer on a bar is prohibited at Ames Golf & Country Club.  Ames Golf & Country Club reserves the right to control all functions held on Club premises, and to discontinue service of alcoholic beverages at any time, if, in the judgment of management, it would be in the best interest of the Club, and the guests, to do so.  Ames Golf & Country Club will also require photo ID for all guests of questionable age.  If a third party serves minors, the bar will close for the evening.  The Club reserves the right to take any action necessary to avoid liability under the statues of the state of Iowa.

STAFFING

Staffing of personnel is dependent upon the size and type of the function.  Management will determine the staffing requirements.

CANCELLATIONS

Cancellations up to one week from the date of the function will be charged a $3.00 per person cancellation fee (minimum of $100.00), and any non-recoverable costs incurred by Ames Golf & Country Club, up to the time of cancellation.  No-shows or day-of cancellations will be charged the entire estimated amount of the function.  All deposits are non-refundable under any cancellation.

LIABILITY

Ames Golf & Country Club shall not be liable for non-performance of this contract when such non-performance is attributable to labor troubles, disputes, or strikes, accidents, non-availability of food and beverage, riots, national emergencies, acts of God, and other causes whether enumerated herein or not, which are beyond the reasonable control of the Club, preventing, or interfering with the Club’s performance.

MENU SELECTION

To enable us to provide excellent service, all parties over 15 persons must select a set menu.  Also, Ames Golf & Country Club highly recommends that all parties choose only one (1) entrée per function.  When a host desires more than the recommended entrée, we would like to suggest a combination plate be offered to ease the flow of, and to ensure proper service.  So as not to disrupt the ala carte dining of our members, certain guidelines are outlined below for choosing more than one entrée:

  • All parties of 15 or more must have pre-arranged menus
  • All parties under 15 people may order from the Greenview Dining Menu
  • Parties of 15-100 people may use a limited menu consisting of (up to 3) items from the ala carte lunch or dinner menu, provided the host gives the exact number of each entrée to be served at least one week in advance of the event.
  • On parties over 100 people, a choice of up to two (2) entrees will be permitted, provided the host gives the exact number of each entrée to be served at least one week in advance of the event.

It is required that counts for these functions are made available at least 5 business days in advance.  We will not guarantee the same menu for guests not accounted for.   Restrictions may apply

GENERAL INFORMATION

As other groups may be utilizing the same areas as you, prior to, or following, your function, please adhere to the times agreed upon.  The Club reserves the right to determine the proper amount of space needed for your function.  Further, we are unable to guarantee specific rooms, as this is subject to change based on the other needs of the Club.

FOOD MINIMUM

For any parties not reaching the required food minimum ($300.00 for lunch 11am-3pm or $17.00 per person for dinner 3pm-after) an additional fee will be applied to reach the required food minimum.

BAR SALES

Parties that require a private bar must reach $750.00 in sales and have food service, or a $75.00 fee will be assessed.  Those parties without food service must reach $750.00 in sales or the host will be charged the difference between the actual sales and $750.00.  Each additional bar will be subject to a $75.00 bartender fee.
